What is Madares Platform?

An integrated electronic system that provides digital solutions for schools, helping the caregiver choose suitable private schools for their children. It allows searching for nearby schools, registering in them, viewing their ratings, and exploring photos of the facilities and available services.

The platform also offers multiple payment channels for the caregiver to pay tuition fees, sign contracts with the schools, and complete official documentation.

What are the target audiences of the Madares platform?

Owners and investors of private schools in the Kingdom of Saudi Arabia, as well as caregiver.

Has registration for private schools been opened?

Yes, registration on the Madares platform is now open to all private schools. You can register now by clicking on the “Create a New Account” option.

What are the requirements to register a private school on the platform?

Can multiple schools be added under the same owner?

If the school to be added has its own commercial registration, a new request must be submitted. However, if the school is a branch of an existing school with a shared commercial registration, it can be added as a branch of the previously registered school by logging in to the school’s account on the Madares platform.

What is meant by the Articles of Association?

The Articles of Association is the document created through the Ministry of Commerce when establishing the company that owns the school.

When should the Articles of Association be attached, and when should the Commercial Registration Certificate be attached?

The Articles of Association should be attached for companies, while the Commercial Registration Certificate should be attached for sole proprietorships.

Who is the authorized representative?

For educational institutions, the authorized representative is the owner of the institution. For companies, the authorized representative is the person authorized to sign on behalf of the company on the Madares subscription form. The authorization letter must be certified electronically through the Chamber of Commerce.

What is the process for authorizing a representative?

The authorization letter is certified electronically through the Ministry of Commerce website.

Where can I obtain the unified authorization letter for the Madares platform?

You can download the authorization letter template available at the bottom of the registration page, fill it out, and have it certified electronically through the Ministry of Commerce website before attaching it to your application.

Can a boys’ branch and a girls’ branch be added under the same official school account on the Madares platform?

Yes. A boys’ branch and a girls’ branch can be added if the school has a single commercial registration. This is done by adding the branches through the control panel after creating the account and activating it, then clicking the “Branches & Levels” icon in the school’s account.

Is there a limit to the number of photos that can be added for each grade level?

Yes. The maximum number of photos that can be added is 5 photos per grade level.

What is the process for adding a contract manager?

To add a contract manager, you must first add the grade levels through the “Grades & Branches” section in the control panel. Once completed, you can then add and assign a contract manager to the specified grade level.

Can the grade level information be modified?

Yes. Grade level information can be edited through the control panel of the school’s account on the Madares platform.

Is registration on the platform free or paid?

Registration on the platform and creating a profile for the school and its branches is free of charge.

Are all services on the platform free of charge?

There are some services offered through the platform that are paid, which are administrative fees for operating the platform, applicable only if the school chooses to benefit from them. These include:

• Executive contract service mandated by the Ministry of Justice

• Financing service of 10%

• Payment gateway service fee of 1.35%

What is the subscription contract?

A contract concluded between the private school and the entity owning the platform to open an account and register on it. It includes the school’s information and the terms of using the platform.

Is the private school required to pay certain fees when signing the subscription contract if caregiver have not registered their children on the platform?

No. The platform and registration on it are free of charge.

If the subscription contract is signed but the executive contract is not activated, how will the contract be signed between the caregiver and the school?

• Executive contract (mandated by the Ministry of Justice)

• Regular contract (non-executive/mandated)

The platform and its administrators are not responsible for anything carried out outside the platform.

If the subscription contract is signed but no service fee has been paid through the platform, will the payment be made through the platform or directly to the school?

If the caregiver’s registration is completed through the platform, they are required to pay the tuition fees through the platform.

Is registration on the platform mandatory for private schools?

At present, registration is optional.

Are there any requirements for registering a school on the Madares platform, and are there subscription fees?

There are no requirements for registration on the platform for any private school with a commercial registration and license. Registration on the platform and creating a profile for the school are completely free. Some paid services are available, with details provided in the subscription contract.

Is school registration and account creation on the Madares platform done once or every year during registration?

The account is created only once, with the option to update the school’s information and renew its license when it expires.

Does the school have the right to select students and accept only those it deems suitable, and reject others?

After the caregiver fills out the student application form (enrollment request), the request is sent to the school, which decides whether to accept or reject it.

What are educational vouchers?

They are funded study seats provided by the Ministry of Education to support targeted groups under specific conditions and criteria. The program aims to facilitate access for students and their caregiver and to enhance the participation of private educational institutions in serving, developing, and improving education.

What are the requirements for registering as an educational institution in the educational vouchers program (for students with disabilities)?

The institution must meet the following basic requirements:

1. A valid Commercial Registration.

2. A valid Special Education License.

3. A dedicated IBAN for the educational institution.

What are the target groups benefiting from the educational vouchers (Students with disabilities)?

The educational vouchers program targets students with disabilities from the following categories:

1. Autism spectrum disorder.

2. Intellectual disability.

3. Attention deficit hyperactivity disorder (ADHD).

4. Learning difficulties.

5. Hearing impairment.

6. Visual impairment.

7. Physical and health disabilities.

8. Multiple disabilities.

9. Deafblindness.

What does the educational voucher cover?

The educational voucher covers the educational services provided to the student.

How can I enroll in the educational vouchers program?

After registering the school’s information on the main page and specifying that it includes education for students with disabilities , you can submit a request to join the educational vouchers program through the contract manager for the specific grade level.

How can I add the tuition fees related to the educational voucher?

The tuition fees can be added by the school through the educational vouchers section on the platform.

Is there a tuition fee cap for the educational voucher?

Yes. There are set regulations for the tuition fees related to the educational voucher.

My application is “Under Review” . What is the next step?

After reviewing the fees and licenses and verifying the information, the request will be approved and the grade level will be registered as a participant in the educational voucher program.

Can I modify the fees after my application to join has been accepted?

No, fees cannot be modified after a student’s application is accepted, in order to comply with the timelines specified in the pricing annex.

Can I withdraw from the educational vouchers program?

Yes. You can submit a withdrawal request through the contract manager. The withdrawal will be approved after confirming that all financial obligations to the school have been settled.

How can students be added to the educational vouchers program?

The school can add students through the grade’s administrative account, after approving the application to join the program.

When are students who wish to participate in the educational vouchers program added?

The student is added after completing the fourth week of regular attendance at the school.

Can I remove a student who has been added to the educational vouchers program?

Once the request to join the educational vouchers program has been approved, the student cannot be removed.

What is the My Voucher service?

It is a service provided by the Ministry of Education in the form of a tuition grant, according to specific terms and criteria, for students enrolled in private schools included in the “Random Areas Removal Project” in Jeddah Governorate. The aim is to give them the opportunity to study in private schools during the morning period as compensation for the affected period.

Who is eligible for the My Voucher service on the Madares platform?

Students enrolled in private schools included in the “Random Areas Removal Project” in Jeddah Governorate.

What can I do as a caregiver?

You can submit a new application, track previous applications, and review the results of submitted requests.

Is there a secure way to register on the Madares platform and benefit from the service?

Yes. You must have a National Single Sign-On account (Nafath) to log in and benefit from the My Voucher service.

Does the My Voucher service cover all grade levels?

Yes, the service covers all grade levels (boys and girls).

What is the process for adding and selecting children?

After registering on the Madares platform through the National Single Sign-On account, the list of all dependent children will appear. You can then start the application process by selecting one of the children.

How can the residence address be set through the Madares platform?

The caregiver can select one registered address from the list of addresses displayed during registration via the National Unified Access platform, noting the importance of updating the national address on the relevant platforms before submitting the application. This ensures the caregiver can select the nearest schools.

Can the residence address be updated?

Yes, the caregiver can update the national address by logging into the (SPL) platform.

Can more than one request be submitted for the My Voucher service for each student?

The caregiver can add up to 10 mandatory preferences for each student by selecting the desired schools based on the place of residence shown on the map.

Will one application cover all children?

No. If there is more than one child, the caregiver will need to repeat the application process for each child. Each child will have a separate application number.

How can I track the status of applications?

The (Track Applications) page will display the details and status of each application.

Can the application be modified after submission?

The caregiver can modify the submitted application by following these steps:

1. Log in to the (Track Applications) page.

2. Click on the (View Details) option for the application you want to modify.

3. Click on the (Modify Preference) option.

4. After making the changes, a notification will appear to confirm the modification.

*Please note: Applications cannot be modified if they are under processing or already confirmed.

How can the caregiver know the application result?

Once the review period ends, the caregiver will receive a message with the application result.

Is registration for caregivers open?

Registration for caregivers is currently available.

Is registration for caregivers on the Madras platform mandatory?

Yes. If the caregiver wishes to register in one of the schools listed on the platform, they must register on the platform. This will require the caregiver to pay the tuition fees through the Madras platform.

Can I choose a public school from the list of schools on the platform?

Currently, the list includes selected leading private schools, and the school list is updated regularly.

Can I select the school based on geographic location?

Yes, you can select the desired school from the map.

Can I choose a school outside Riyadh?

Yes, the platform covers all cities across the Kingdom of Saudi Arabia.

What is the Executive Contract?

The Executive Contract is a standardized agreement issued by the Ministry of Justice and approved by the Enforcement Court. In the event of a breach of any of the contract terms, the necessary enforcement procedures will be taken in court against both parties (the caregiver and the private school).

Is the Executive Contract signed electronically by the caregiver?

Yes. Once the caregiver approves the Executive Contract, it will be signed electronically.

Who are the parties to the Executive Contract?

The private school and the caregiver, for each enrollment request submitted for one of their children.

When is the Executive Contract issued?

Once the enrollment request for the student is submitted by the caregiver and approved by the school, a copy of the Executive Contract will be sent to the caregiver for review and approval.

What are the key terms and conditions included in the Executive Contract?

The contract contains clauses and terms that protect the rights of both parties. These include, but are not limited to, withdrawal policies, renewal, cancellation, and tuition fees.

How can I check the validity of the Executive Contract?

Can the caregiver review the Executive Contract before signing?

Yes. When the enrollment request is submitted to the school and approved, a draft copy of the contract will be sent to the caregiver for review.

Can any terms or clauses in the Executive Contract be changed or removed?

The Executive Contract is issued by the Ministry of Justice and cannot be modified or have any of its clauses removed.
